Inviting employees
Log in to the Jamboree web console.
Navigate to the settings page.
Click the “invite users” tab to get started. If your Jamboree account includes integration with Toast, the users will populate automatically.
Here you can see the status of each employee, such as whether they have been invited or are active.
In the “actions” column, you can either invite the employee or resend an invite in the case that they cannot find the email invite.
This invitation arrives to the employees via email and includes a message with a link to create an account. You may need to plan on walking some employees through this process if they do not have regular computer access.
Once the employee has created an account, they must download the mobile app, where they can use these login credentials. The mobile app is available on Google Play and in the App Store.
You may view the user role of each job code and employee by navigating to the “user roles” tab in the settings page, as well as see the permissions each one entails.
Creating an assignment
Assignments are the tasks you want your employees to complete. The structure works like this: assignments are composed of modular blocks called “functions,” which in turn are built of components. Many companies have a common structure that they use to document, test, and log information. That is why Jamboree assignments are constructed to allow copying & adding and template use to speed up the assignment creation process.
Log in to the Jamboree web console.
Navigate to the assignments page.
Chose the location you want from the dropdown location picker. Here, you can edit, delete, preview, or clone assignments.
Click the add button and either select “create new assignment,” or “copy & add existing assignment” to clone one that you have already made.
A new tab on the assignments page will open, where you can name the assignment, choose an image, and choose the target location(s) that you would like the assignment to be used in.
Next, add functions by either creating them from scratch “create new function,” cloning existing work, or using a template that you have made—whichever is most efficient for you to use!
Optionally name the function, and begin adding components using the gray toolbar that appears. Note that you may collapse and expand your function(s) as you see fit.
Components you may want in your assignment include text, a pdf, image, or video file, an upload field for users to submit their own files, checklists, quizzes, temperature logs, ratings, and questions. Note that you can select if the component needs a signature or not.
Components may be rearranged using the carrot icons in the top right.
When you are finished with your assignment, click save and the tab will close.
Next, you will use this assignment in the scheduler (see below) where it will be sent to your employees whenever you would like.
NOTE THAT ACTIVE ASSIGNMENTS THAT ARE ACTIVELY BEING USED BY THE SCHEDULER MAY NOT BE EDITED.
Scheduling an assignment
The scheduler is the way your assignments get sent to your employees for completion and review. This is the calendar that communicates what you need when—to the right people and the right time.
Log in to the Jamboree web console.
Navigate to the scheduler page.
Chose the location you want from the dropdown location picker.
Here, you can see any schedulers that you have at the location, who they send to, and when they execute. You may also pause, edit, or delete these existing schedulers from this page.
Click the add button to create a new scheduler. Give it a name and choose the target assignment that you want to send out.
Then, select who you would like the assignment to be completed by. Note that you can choose to have the assignment sent to new users once they are invited and create an account by checking the “auto send to new user” box. Click “select person” to specify the individual or job code you would like to complete your assignment.
Next, select the reviewer(s) for your assignment. They will receive notifications when an employee has completed the assignment that there is a new submission to either approve or deny.
Schedule when you would like the employee to be notified that there is a new assignment they need to complete in the “Timing” fields on this page. If you would like the scheduler to execute regularly, choose when it will repeat and with what frequency. Optionally add and end time when the scheduler will stop running.
Choose what format you would like to notify your employees of a new assignment or review: push via the Jamboree app, email, or both.
Select how long you would like the assignment to be available by filling in the deadline fields. The first is for the assignment as a whole, and the second is after the employee has opened the assignment.
NOTE IF YOU WOULD LIKE TO CREATE AN “OPEN” ASSIGNMENT THAT ALLOWS FOR EMPLOYEE COMPLETION AT ANYTIME (NOT PUSHED TO THE EMPLOYEE DIRECTLY), LEAVE THE ENDTIME FIELD BLANK.Click save once you have set up the scheduler to run according to your preferences.
Once the scheduler is saved, you may choose to generate and distribute a QR code that directly opens the assignment in the Jamboree app when scanned. This is for use as an “Open” assignment that allows for employee completion at anytime (see note above).
Using the filing cabinet
The filing cabinet is your drive of the documents, images, and videos that you use throughout Jamboree. You can navigate through your content here anytime directly, or, upload and access assets in the filing cabinet as you create assignments.
Log in to the Jamboree web console.
Navigate to the filing cabinet page.
Choose the folder or you want, or create a new one by clicking the “create folder” button at the top of the page.
Upload documents by clicking the “upload” button at the top of the page.
From this page you can see information such as the time the document was created, the creator, and the size.
You may also delete, download, preview, upload a new version, or move to a new folder using drag-and-drop.
Reviewing a submission
The review page is where your management and corporate staff can find submissions from employees that require their signature or approval. This page is where the checks-and-balances for your organization take place.
Log in to the Jamboree web console.
Navigate to the review page.
Chose the location you want from the dropdown location picker.
Here, you can see any outstanding submissions that were sent to you for review.
Click each one, add optional comments or notes, and approve or deny them.
If a second reviewer is indicated, the submission will be send to them to approve or deny.
Completing all review(s) means the submission is closed, and can be accessed by the employee and reviewer in the “my results” section of the mobile app.
Reporting
The reporting page is where the results of the assignment submissions live. This is your hub for monitoring the progress of your employees as they complete their work, noting trends, and exporting documentation for your record-keeping.
Log in to the Jamboree web console.
Navigate to the reporting page.
Using the Jamboree Mobile Application
It’s all on your phone! Jamboree makes filling out paperwork a thing of the past.
Once employees have received an invite and created an account in a web browser, they must download the mobile app, where they can use their login credentials. The mobile app is available on Google Play and in the App Store.
The notifications tab is where new assignments and reviews appear. After a new item is clicked, it will no longer appear in the notifications tab.
The to-do’s tab is where all assignments that have yet to be completed and submitted are listed.
The results tab displays results based on the employee’s user role: employees may only see their own results, under “my results,” whereas management and corporate staff can quickly access results from multiple employees.
The message tab is a communication platform for employees to be used for assignment related questions, comments, and updates.
Selecting the three dots “…” tab allows the user to change their password or log out of the application.
